What actually happens in a HoursBack assessment

We get asked this a lot: "What actually happens if I book an assessment? What do you do? What do I need to prepare? Am I going to feel stupid because I don’t know anything about AI?"

Fair questions. So here is the full, transparent walkthrough - every step, no fluff, no sales pitch.

Step 1: The quiz (2 minutes)

Most people start with our free AI readiness quiz. It is 9 quick questions about how you currently handle things like scheduling, emails, invoicing, and content creation. There are no wrong answers - it is an honest snapshot of where you are today.

At the end, you get a score and a handful of quick wins you can act on immediately. These are free, practical suggestions that will save you time whether or not you ever speak to us.

Some people take the quiz, implement the quick wins, and that is enough. Brilliant - job done. Others see the score and think, "Right, I need proper help." That is when they book an assessment.

Step 2: Booking (2 minutes)

You pick a time that works for you from our online calendar. Morning, afternoon, whatever suits. The call is 45 minutes over Zoom. You will get an automatic confirmation email and a reminder 24 hours before.

There are three options:

  • HoursBack Assessment (£799): The full diagnostic. Best if you are a solo business owner or very small team.
  • HoursBack Team Diagnostic (£1,199): Everything in the assessment, plus we look at team workflows, handoffs, and delegation opportunities. Best for businesses with 3-10 people.
  • Implementation Kickstart add-on (£349): Hands-on help setting up your top 3 recommended tools after the assessment. For people who want it done with them, not just recommended.

Step 3: The questionnaire (10-15 minutes)

After booking, you receive a short questionnaire. This is not busywork - it directly shapes the conversation we have on the call. We ask things like:

  • What does a typical week look like for you?
  • Which tasks eat the most time?
  • What tools do you currently use?
  • What have you already tried (and what did not work)?
  • What would you do with an extra 5-10 hours a week?

You can save your progress and come back to it. No need to do it in one sitting. The more detail you give, the more specific and useful the call will be.

Step 4: The 45-minute call

This is the core of the assessment. It is a conversation, not a presentation. We are not going to show you slides or read a script. We are going to ask you about your business, your workflows, and your frustrations - and listen carefully to the answers.

Here is roughly how the 45 minutes break down:

  • First 10 minutes: We walk through your questionnaire answers together. We ask follow-up questions. We want to understand not just what you do, but why you do it that way.
  • Next 20 minutes: We dig into your day-to-day workflows - the tasks you repeat every day and every week. How do enquiries come in? What happens after a client meeting? How does invoicing work? We are mapping the reality of your week, not what you think it should look like.
  • Final 15 minutes: We explore what is working well, what tools you have tried (and abandoned), and what your ideal week would look like. This is not where we give recommendations - that all comes in the report. The call is purely diagnostic. We listen, we ask, we understand.

The call is recorded (with your permission) so we can analyse everything you said in detail afterwards. Our AI then processes the full transcript to identify patterns, time drains, and opportunities that even an experienced consultant might miss in real time. You do not need to take notes.

"Do I need to be technical?"

No. Not even slightly. The whole point of HoursBack is that we translate between "business owner" and "technology". You tell us what frustrates you. We tell you what fixes it. If you can describe your working week in plain English, you have everything you need.

Most of our clients have never used AI beyond asking ChatGPT a question or two. That is completely fine. We start where you are, not where we think you should be.

"What if AI is not relevant to my business?"

In our experience, we have not found a service business where that is the case. Every business owner we have spoken to is spending time on tasks that tools can handle - usually 5-10 hours a week minimum. But if we genuinely felt AI was not the right fit for your situation, we would tell you. We are not in the business of selling solutions to problems that do not exist.

Step 5: Your personalised report (delivered within 48 hours)

This is what you are paying for, and we take it seriously. Your report is not a generic template with your name swapped in. It is a detailed, personalised document based on everything we discussed.

Here is what it includes:

  • Key findings: A clear summary of where your time is going and why.
  • Time audit: An estimate of how many hours you are spending on automatable tasks each week, broken down by category.
  • Recommended tools: Specific tools with names, costs, and what each one does for your business. Not "consider a CRM" but "set up HubSpot free tier and connect it to your contact form using Zapier."
  • Quick wins: 3-5 things you can set up this week in under an hour each. These alone typically save 3-5 hours a week.
  • 7-day action plan: A day-by-day implementation plan so you know exactly what to do and in what order. Monday: set up scheduling. Tuesday: create email templates. And so on.
  • ROI summary: What you are investing versus what you are getting back in reclaimed hours, expressed in both time and money.

Step 6: The 7-day plan

Your report includes a specific 7-day implementation plan. Each day has one focused task - nothing overwhelming, nothing that requires technical skills. Most tasks take 30-60 minutes.

The idea is that by the end of the first week, your biggest quick wins are already live and saving you time. You do not need to implement everything at once. Start with the quick wins, feel the benefit, then tackle the bigger recommendations at your own pace.

Step 7: Follow-up support

Two weeks after your report, we check in by email to see how implementation is going. Are you stuck on anything? Did something not work as expected? We are here to help.

If you booked the Implementation Kickstart add-on, this is where we roll our sleeves up and help you set up the top 3 tools from your report. Screen-sharing, step-by-step, until everything is running.

That is it

No ongoing contracts. No monthly retainer (unless you want one). No upsell pressure on the call. You get a clear report, a practical plan, and the support to make it happen.
