AI for estate agents: save 10 hours a week without hiring

Estate agency runs on relationships. But it’s hard to build relationships when you’re buried in property descriptions, viewing follow-ups, compliance paperwork, and the endless back-and-forth of scheduling.

AI can’t replace you on a viewing. But it can handle most of the admin that stops you getting to the viewing in the first place. Here’s how.

Property descriptions in 60 seconds

Writing property descriptions is one of the most time-consuming parts of listing a new property. It’s also one of the easiest things to hand to AI.

How to do it: Open ChatGPT, paste in the key details (number of bedrooms, location, features, condition), and ask it to write a property description in your agency’s tone. You’ll get a polished first draft in under a minute.

The trick is setting up Custom Instructions first. Tell ChatGPT about your agency, the areas you cover, and the style you use in your listings. After that, every description will sound like it came from your team.

Before: 20–30 minutes per listing, writing from scratch or copying old ones and changing the details.

After: 2–3 minutes to generate, review, and tweak.

With 5 new listings a week, that’s 2+ hours saved.

Viewing follow-ups on autopilot

After every viewing, you need to follow up with the viewer, update the vendor, and log the feedback. Most agents do this manually, which means it either takes forever or doesn’t happen at all.

The automation:

  1. After a viewing, open ChatGPT and type: “Viewing feedback for [address]. Viewer was [name]. They liked [X] but were concerned about [Y]. Interest level: warm/cold/hot.”
  2. ChatGPT generates: a follow-up email to the viewer, an update email to the vendor, and a CRM note - all in 30 seconds.
  3. Copy, paste, send. Done.

Set up Calendly with your available viewing slots. Share the link in your property listings and auto-response emails. Viewers book themselves in, your calendar updates, and reminders go out automatically.

For vendor check-ins and valuation appointments, create a separate booking type with its own availability.

Time saved: 2–3 hours per week.

Market appraisals and comparable research

Before a valuation, most agents spend time researching recent sold prices, current listings, and market trends. Claude is excellent at this if you give it the right data.

How to do it: Copy and paste recent sold prices from Rightmove or Zoopla into Claude, along with the property details you’re valuing. Ask it to analyse the comparables and suggest a valuation range. It won’t replace your local knowledge, but it will cut your research time significantly and give you a solid starting framework.

Time saved: 30 minutes per valuation.

Social media content without the effort

Your social media should be showcasing your listings and building your local reputation. But who has time to create posts when you’re running viewings all day?

Use ChatGPT to batch-create a week’s worth of posts in 15 minutes:

  • “Just listed” posts for new properties
  • Market update posts using local sold data
  • Tips for buyers/sellers (AI generates these easily)
  • “Sold” celebration posts

Then use Canva’s AI features to generate the visuals. Drop in a property photo, and Canva’s templates and AI tools will create a polished social graphic in minutes.

Schedule everything through Buffer and you’re done for the week.

Time saved: 2–3 hours per week.

The total: 10+ hours back every week

Add it all up: property descriptions (2 hours), viewing follow-ups (3–4 hours), scheduling (2–3 hours), research (1–2 hours), social media (2–3 hours). That’s easily 10–15 hours a week you could be spending on viewings, valuations, and building relationships - the work that actually earns fees.
